Frequently Asked Questions (FAQs)

Who is presenting at this year's conference? Can I see the Agenda and Workshop Lineup?

Where is the 2014 Annual Conference being held? Are there hotels and/or other lodging options nearby?

Sunriver Resort (800) 547-3922
17600 Center Dr. (Map & Driving Directions)
Sunriver, Oregon 97707

Unless you are a confirmed workshop presenter, YOU ARE RESPONSIBLE FOR BOOKING YOUR OWN LODGING ACCOMMODATIONS, whether you plan to stay at the Sunriver Resort (OCADSV block rate: $89/night + 8% tax; their contact info is above) or elsewhere (group rental cabins, etc).

In previous years, all available hotel rooms at the Sunriver Resort have booked up very quickly for our conference. If you are unable to book a lodging reservation at the Sunriver Resort, you can still register for and attend the conference. However, you will need to reserve your own lodging accommodations off-site, either in a private Sunriver rental home or a hotel in nearby Bend, Oregon (a short 20 minute drive from Sunriver Resort).

How much does it cost to attend?

Current registration fees can be found on the Web Registration Form. These costs include attendance at all workshop sessions, breakfast and lunch on Monday 6/16, breakfast and lunch on Tuesday 6/17, and breakfast on Wednesday 6/18. Registration fees do not include lodging accommodations; these must be booked individually by the attendees, whether through Sunriver Resort or another off-site location.

Coalition Member Programs from Regions 1-7 are eligible for scholarships to defray the cost of attendance for up to two (2) of their staff members (more information on scholarships); additional staff members and all registrants that are not affiliated with a Member Program are subject to registration fees.

Please make all checks payable to "OCADSV" and mail payment to:

Attn: 2014 Annual Conference
1737 NE Alberta St, Suite 205
Portland, OR 97211

I've heard that Coalition Member Programs are eligible for scholarships. What do they cover?

Each Oregon Coalition Member Program in Regions 1-7 is eligible for a scholarship, which will include:
  1. Lodging reimbursement covering three nights' stay (Sunday 6/15 through Tuesday 6/17, departing Wednesday 6/18) in one room at the Sunriver Resort ($89/night + tax);
    • Even if you are attending the conference under a scholarship, you are responsible for arranging your own travel and lodging accommodations! Call the Sunriver Resort NOW at 1-800-547-3922 to reserve your hotel room (tell them you're attending the OCADSV Annual Conference to get our special block rates of $89/night + 8% tax).
    • Conference attendees are not required to stay at the Sunriver Resort. You may use lodging reimbursement funds to defray the cost of private cabin rentals or other accommodations in and around Sunriver. However, anyone opting to stay off-site will be responsible for travel arrangements between their private accommodations and the Conference site; and
    • Whether attendees opt for lodging at Sunriver Resort or another off-site location, lodging reimbursement from OCADSV will not exceed $89/night + tax.
  2. Mileage reimbursement (roundtrip) in one vehicle between the Member Program's office and Sunriver Resort (mileage reimbursement calculated at $0.56/mile); and
  3. Up to two scholarship (no-cost) registration spots, which includes breakfast, snacks & lunch.
IMPORTANT: Before registering scholarship attendees using the Web Registration form, call Jonathan Gates, OCADSV's Social Media & Events Coordinator at (503) 230-1951 x302 to request your unique scholarship coupon code! Without this code, you will be unable to bypass the payment page on the Web Registration form.

Please note that due to budget constraints, Individual and Affiliate Coalition members are not eligible for scholarships. However, discounted registration rates are available for Individual and Affiliate Members.

Scholarship checks will be processed and mailed to eligible attendees' organizations in early July, after the Coalition offices reopen and we have verified each attendees' participation.

I am a confirmed workshop presenter for the 2014 Annual Conference. What do I need to know?

Confirmed Workshop Presenters will receive compensation that may include monetary honoraria, one day of no-cost conference registration (breakfast, lunch and workshop attendance) and/or one night of lodging at Sunriver Resort (see your contract issued by Dian Hilliard, our Conference Coordinator for specifics).

Presenters who wish to attend the rest of the conference need to register using the WORKSHOP PRESENTER REGISTRATION button below, then inform Dian Hilliard of their plans immediately so that their hotel reservations can be modified accordingly. Workshop Presenters and/or their organizations will be financially responsible for the remainder of each Workshop Presenters' registration and lodging costs, unless other arrangements have been made with Coalition staff.

We recommend that Presenters who are affiliated with a Coalition Member Program and wish to attend the entire conference pay for the remainder of their stay, instead of using their organization's designated scholarship "slots". This simplifies the accounting process and hopefully avoids us having to reconcile workshop presenter compensation, scholarship reimbursement, and registration fees on a single reimbursement check. If this is not feasible or you don't understand what this means, please contact Jonathan Gates, Social Media & Events Coordinator.

I am a Coalition Individual or Affiliate Member. Am I eligible for any discounts or scholarships?

Individual and Affiliate Members are eligible for discounted registration rates (scholarships are not available to Individual/Affiliate members at this time). Select the Individual/Affiliate Member registration option on the registration form.

Will child care be offered at this year's conference?

We are pleased to offer no-cost childcare (provided by Sunriver Resort; ages 5-12 ONLY) for all attendees! Please indicate on your registration form whether you will need child care.

Children ages 12 and under who are accompanying their parent/guardian at the conference are welcome to join their parent/guardian at all Conference-provided meals at no cost.

Non-attending adults and children ages 13 and over that wish to accompany registered conference attendees at conference-provided meals must pay a $30.25 per person, per meal fee. We recognize that this cost may be an issue for some conference attendees with teenage children, but several alternatives are available. Sunriver Resort offers several dining options outside of the conference and the town of Sunriver itself has a supermarket and several off-site restaurants available.

Is there a paper registration form available?

Yes. For those who are unable to use the online application or wish to pay by check, you can download a printable registration form on the Register Now page. (NOTE: Your computer will need Adobe Reader or another reputable PDF reader program installed to open this form.)
